Role
The objective of this role is to participate in a team effort in the provision of Transfer Agency Services whereby responsibilities include leading a busy Registration, FATCA and CRS Team.
The Person
This is a client facing position that requires a technically strong, bright and ambitious individual who has a proven history of accuracy and attention to detail, strong leadership, developing and enhancing relationships and adding value in a team in a busy operational environment. You will ideally have a strong background within Investor Services/Transfer Agency with experience of playing a key role in the organisation and management of an operational team and preferably have experience supervising staff.
Key Responsibilities:
Deliverables and key activities
- Transcribe data from Mutual and Alternative fund application forms received from investors onto various Transfer Agency systems and review for accuracy (new accounts, static data changes, bank details update, etc.).
- Maintain accounts on the systems to ensure that details are correct and up to date. Amend changes in accordance with strict operating procedures as defined by company policy.
- Respond to queries and requests from investors in a timely and efficient manner (telephone and written) – 24 hour Service Level Agreement (“SLA”).
- Ensure that all daily, weekly and monthly reporting is delivered to Clients within agreed timeframe as set out within the SLA.
- Lead the preparation and submission of accurate and timely updates to our clients on key matters pertaining to FATCA and CRS.
- Lead the preparation and submission of regulatory fillings such as FATCA, CRS, IUT & Return of Values.
- Ensure regulatory reporting is submitted prior to the regulatory deadlines.
- Assist in the launching of new client business, and seek to build and foster client relations timely.
- Assist in the preparation and validation of audits (internal / external) in a timely manner.
- Become involved in projects / assignments / other duties as deemed appropriate by the Team Manager and Senior Manager.
- Oversee Quality control on all investor communications prior to release.
- Understand GDPR and its impact on the Transfer Agency function, in particular Registration.
- Review and enhance process flows ensuring strong emphasis is placed on control and risk management.
- Work with other Team Leaders and Managers to ensure the implementation of effective and efficient processes and controls across multiple locations.
- Implement and maintain appropriate controls within his / her responsibility.
- Assist in the preparation, delivery and maintenance of procedures and checklists and present to your Managers for sign off, conducting a 1 week post role out analysis.
- Assist in the setting of daily / monthly and ad hoc tasks for the team and communicate effectively across the team (morning team huddles).
- Monitor daily, monthly and ad hoc workflows throughout the day to ensure deadlines are achieved, re-assigning work where appropriate.
- Provide end of day dashboards to Management regarding status of key deliverables.
- Assist with assigning work to subordinates and monitoring their performance.
- Train, motivate and develop staff to ensure a fully functioning team capable of meeting the department’s objectives.
- Assist and deputise (as appropriate) for the Manager in his / her absence, in terms of providing day to day management of Registration Team.
- Demonstrate strong team work ethic and good communication skills (written, verbal, non-verbal).
- Demonstrate a “can-do” attitude across the team and strive to motivate and lead a team to achieve their goals and objectives on a day to day basis.
